How to Add Someone to the Call

Adding a coworker by extension or an outside number to a live RingCentral call, and the participant cap to plan around.

Purpose

New to bringing a third person into a call? Start here: adding someone to a call you are already on means typing their name or extension into the add-participant field and clicking add. It works the same way whether you are on the mobile app, your desk phone, or your computer, and it is how you turn a one-on-one call into a conference with a coworker or an outside number.

At a Glance

  • During an active call, open the add-participant field and type a name or extension; the system recognizes extension numbers automatically.
  • Our extensions: Kelly is 103, Anita is 105, Jen is 106, Katelyn is 107.
  • You can add more than one participant to build a conference call, up to a limit set by RingCentral, not by us.
  • RingCentral caps a conference at eight additional participants, nine total including you. Plan around that ceiling instead of assuming the call can grow without limit.
  • A keypad is available on screen for dialing an outside number directly into the same call.

Steps

Adding a Coworker by Extension

  1. During an active call, open the add-participant field.
  2. Type the extension number, or the person's name; the system will surface the matching extension. For example, 103 brings up Kelly, 105 Anita, 106 Jen, 107 Katelyn.
  3. Click add. Repeat for each additional participant, keeping the eight-additional-participant cap in mind.

Adding an Outside Number

  1. Open the on-screen keypad during the call.
  2. Dial the outside number directly.
  3. Click add once the call connects.

Edge Cases / Troubleshooting

A ninth participant will not go through

RingCentral caps a conference call at eight additional participants, nine total including you. This is a vendor-side limit, not a glitch on our end. Split the group into a second call if you need to reach more people than that.

What's the fastest way to add someone whose extension you do not know

Type their name instead of guessing at a number; the system surfaces the matching extension for you.

An extension does not match who you expected

Double check the digits before clicking add. Extensions are staff-specific, and adding the wrong one connects the wrong person to a live call.

Who to Ask
