Staff checklist for greeting, health-checking, and checking in a dog, plus what to confirm and document before it goes home.

Purpose

Arrivals and Departures covers the full check-in flow: greeting the owner, scanning the dog for health issues, confirming instructions, and documenting everything in the kennel system before the dog goes to its enclosure, and before it goes home.

Greeting and Health Check

  • Greet the owner warmly when they arrive.
  • Take the dog to potty, then bring it to its enclosure.
  • Scan the dog for any notable health issues and note them on the Pre-Entry Exam form.

Confirm the Details

  • Verify the pickup time.
  • Verify the client brought food and feeding instructions.
  • Note any special feeding and medication instructions from the owner.
  • Confirm the date and time of pickup with the owner again before they leave.
  • Confirm any departure services.
  • Confirm any belongings the owner is bringing for the dog, be as specific as possible, and enter them in the kennel system.

Medication and Food

  • If the dog has medication, get clear instructions on how to administer it and how to store it, and document both in the kennel system.
  • Check the dog in using the kennel system.
  • Label the dog's food with the appropriate run card, including a medication card for any medications.
  • Bring all food to the back.
  • Store food containers neatly, and refrigerate anything that needs it.
  • Label all food containers and treats with the run card.

Belongings and Enclosure Setup

  • We don't allow outside bedding, toys, or equipment into the facility, to prevent loss or cross-contamination. Return those items to the owner before they depart.
  • Print the dog's run card for both indoor and outdoor kennels and deliver it to the ACTs to add to the enclosure.

Before the Owner Leaves

  • Ask the owner if they would like to say goodbye before you take the dog to the back.
  • Thank the owner for coming.
