How to Re-enroll Someone to a Class if the Dates Were Changed & PPC Class Packages

Staff reference for re-enrolling attendees after a class date change and for the separate Pet Parenting Class enrollment steps.

Purpose

Here's why this one matters: changing a class's dates on the backend never updates an attendee's existing reservation. If you move a class and don't re-enroll everyone on it, families show up on the old dates. This SOP covers that fix, plus the separate enrollment steps for Pet Parenting Classes (PPC), which split the class booking from the credit purchase.

Steps

  1. Change the class dates on the backend, if that's what's needed. Go to the class schedule, select the class, choose Change Date, and enter the new dates, for example moving the whole series up by a month.
  2. Check what an already-enrolled attendee's profile still shows. Changing the class itself does not touch anyone already enrolled in it; their profile still shows the original dates until you fix it directly on their reservation.
  3. Cancel the attendee's old reservation. Open it, select Cancel, and choose "Class date changed" as the reason, so the cancellation reason stays accurate if anyone reviews it later.
  4. Re-enroll the attendee under the new dates. Go back to Group Classes, find the class, and enroll them again. This step is what links their account to the corrected schedule; nothing else does it automatically.
  5. Repeat for every attendee on the class, not just one. A date change with even a single un-re-enrolled attendee means that family shows up expecting the old schedule.
  6. For Pet Parenting Class enrollment, select the class, choose the dates, and confirm for the customer. This part works like a normal group-class enrollment.
  7. Purchase the PPC credit separately through Point of Sale. Enrolling someone in the class does not add their credit by itself; that's a second, distinct step someone on the front desk or sales team still needs to complete.
  8. If a PPC class also needs new dates, treat it like steps 1-5. Re-enroll the attendee on the new dates and cancel the old-dated reservation, so the class record and the credit record don't disagree with each other.

Edge Cases / Troubleshooting

  • An attendee's confirmation still shows the old date after the class was changed. That's expected, not a bug. It means step 4 (re-enrollment) hasn't happened for that attendee yet.
  • A PPC enrollment shows on the calendar but the account shows no credit. Check whether the Point of Sale credit purchase was actually completed. The two steps are independent; one being done does not confirm the other is.
  • A class has moved dates more than once. Each backend date change needs its own full cancel-and-re-enroll cycle per attendee. A class that moved twice needs this done twice, not once.

Why can't the backend date change just update the reservation

Because once a reservation is made, it's set into the attendee's account. Changes made on the backend don't flow through to it, which is the whole reason re-enrollment is a separate manual step rather than something the system handles.
