Contact Dashboard Overview

Staff reference for reading contact lists, lifecycle stages, and client-value tiers on the HubSpot Contacts dashboard.

Purpose

The short version: this dashboard is where you read a contact's stage, spot our highest-value clients, and build the lists you work from every day. The rest of this article is the how.

At a Glance

  • Contacts move through lifecycle stages we have renamed for our own use: undefined (new, not yet qualified), hot lead, and cold lead. These are not HubSpot's stock stage names (HubSpot ships with Subscriber, Lead, Marketing Qualified Lead, and similar defaults); ours have been renamed to fit how our own team works a lead, so do not expect vendor documentation to use our terms.
  • A predefined list called current clients gives a quick view of who is active today.
  • VIP clients (top 10% by spend) have a lifetime account value of roughly $3,000 to $8,000.
  • Platinum clients (top 5%) have a lifetime spend of $8,000 or more. Both tiers are assigned to a staff member for regular engagement so a high-value relationship never goes quiet.
  • No marketing contacts are configured today; once a contact is actively on an email sequence, they will show up in that folder.
  • Filters exist for contacts inactive 30+ days (re-engagement) and for contacts recently imported into HubSpot.

Working the Contact Dashboard

  1. Start from a list. Use current clients for a quick check on active accounts, or build a custom list with filters.
  2. Build or edit a custom list. Apply filters, edit which columns show, add associated deals, adjust the lifecycle stage column, remove a saved list you no longer need, and save your changes.
  3. Move a contact's lifecycle stage as it changes for real. A brand-new contact starts at undefined. Once you have qualified them, move them to hot lead or cold lead so the record reflects reality and not just where they landed on entry.
  4. Turn a list into tasks. Select several contacts at once and assign follow-up work (a call, an email) with a due date and reminder, instead of working the list one contact at a time.
  5. Check the call view before you reach out. It shows the past week's calls, whether a transcript is available for an outbound call, and speaking-time data you can use to sharpen your own pitch.
  6. Read the activity feed first. Before contacting someone again, scan their feed for outgoing emails and prior touches so you are not repeating yourself.
  7. Link associated companies to a contact. A client's veterinarian, for example, can be linked directly to their record, which speeds up follow-ups on things like vaccination records.

Edge Cases and Troubleshooting

  • A contact has sat at "undefined" for weeks. That is a sign nobody has qualified them yet, not a system error. Qualify them and move the stage yourself.
  • The marketing contacts folder looks empty. Expected right now; we are not running marketing-contact sequences at volume, so there is nothing broken to fix.
  • You are not sure if a client counts as VIP or Platinum. Check lifetime account value, not their most recent single purchase. A big one-time order does not automatically clear the $3,000 lifetime bar.
  • A contact is high value but you are not sure they are assigned to anyone. VIP and Platinum clients are assigned for regular engagement precisely so a high-value relationship does not go quiet; the assignment lives on the record, not in anyone's memory.
