Calendars Overview in Gingr
Staff reference for the four calendar views in Gingr and the daily conventions we follow in each one.
Purpose
Quick context before the steps: Gingr's calendars are not one screen, they're four different views built for four different jobs. Quick Check-In handles arrivals, the Lodging Calendar handles kennel planning, the Facility Calendar handles trainer and lesson planning, and My Day handles a single staff member's own list for the day. Knowing which one to open saves time and prevents the kind of mix-up that only gets caught at pickup.

Steps
- Check dogs in through Quick Check-In. Select Quick Check-In and choose the service that matches what the family is actually paying for, for example Play Time Only. Confirm the dog against the owner's profile before completing check-in; two dogs on file can share a first name (the example in this article's source video used "Juniper," a name that comes up more than once), so matching on name alone is not enough. The screen supports checking in more than one family's dog in the same pass, and you can adjust service type or leave time right there if the plan changed since booking.
- Add services and take payment at check-in. If a family adds a training session or another add-on when they drop off, add it to the cart before checkout. Gingr applies any available package credit or membership benefit automatically, then adds whatever is left to the balance due. A report card can be created from the same screen with one click.
- Undo an accidental check-in. Select the dog, choose Undo Check-In, and the reservation returns to the Expected list on the dashboard instead of staying marked as arrived. This is the correct fix for a mis-click; don't try to work around it by canceling or deleting the reservation instead.
- Review the Lodging Calendar before a stay starts. Before a boarding or camp dog arrives, check kennel occupancy on the Lodging Calendar. The color legend marks a reservation's start in yellow, its end in green, and a single-day booking in purple. Kennel-mate pairs (say, two dogs from the same family, like "Biscuit" and "Nash" in this article's example), suite transfers, and program changes such as moving from training camp to boarding all show up here. When you edit a reservation, Gingr asks whether the change applies to just the selected date or to the whole booking; for the most part you will select the just-the-selected-date option, shown in red, so read the prompt before confirming.
- Use the Facility Calendar for trainer and lesson planning. The Facility Calendar shows scheduled lessons and how many all-day dogs are on site by category, such as behavior camp, boarding, or training camp. Mark a trainer's day off or an out-of-town stretch as unavailable, shown in black; the source calls this out specifically for trainers who move out of town, since it is what keeps facility planning accurate. Day view is the easiest way to work this calendar day to day; switch to week or month only when you need the wider picture, and use the hide and group controls to cut down what's on screen.
- Work from My Day and your daily checklist. My Day gives a trainer or office role a personal view of their own appointments. The admin-assigned daily checklist resets to zero at midnight, erasing any edits; a task you did not complete can be left unchecked, but nothing carries over to the next day.
Edge Cases / Troubleshooting
- Two dogs share a name. Always confirm the dog against the owner's account, not just the dog's name, before completing a check-in.
- You're not sure whether a reservation change should apply to one date or the whole series. Stop and check before confirming. Undoing a whole-series change after the fact is much harder than getting the scope right the first time.
- A private lesson credit will not apply. Only playtime credits are currently accepted, so confirm the reservation lines up with the package before trying to apply a credit to a private lesson.
Which calendar view should I default to
Day view on the Facility Calendar. Week and month are available, but day is the easiest to work from, and the hide and group controls cut down what is on screen from there.

Who to Ask
If a calendar shows something that doesn't match what you know to be true, whether that's a kennel assignment, a trainer's availability, or a checklist item, ask your manager rather than assuming the system is right and moving on.
